What is pre-accounting automation?

Pre-accounting automation handles everything that happens before your accountants can start their actual accounting work. This includes collecting documents from clients, extracting transaction data from bank statements and invoices, organising that data by client and financial year, and preparing it in a format your accounting software can use. In a typical accounting firm in Singapore or Malaysia, this preparation work consumes a significant portion of each working day and requires no accounting judgement at all. QBS automates this entire pre-accounting workflow within Google Workspace. Your team uploads documents, QBS handles the bank statement extraction and invoice processing automatically, and your accountants receive a clean, review-ready output. The accounting judgement, the review, and the final approval all stay with your team. QBS handles the mechanical work so your accountants can focus on the work that actually requires their qualification.

Does it require software changes or migration?

No software changes, no migrations, and no retraining required. QBS works entirely within Google Workspace, which your accounting firm most likely already uses. Your existing Xero, AutoCount, or SQL Account setup remains exactly as it is. QBS sits upstream of your accounting software as a pre-accounting workflow tool, not a replacement for it. The output from QBS is delivered via Google Sheets in your Google Drive, ready for your team to review and export into whichever accounting software you use. There are no APIs to configure, no new platforms for your team to learn, and no disruption to your existing workflow. Setup happens in one onboarding session where we configure your client folders, map your debtor and creditor codes, and walk your team through the daily operation. Most accounting firms in Singapore and Malaysia are processing documents within the same week they onboard.

How is client data stored and secured?

All client documents remain inside the client's own Google Drive environment at all times. QBS processes documents within your firm's Google Workspace and has no default access to any client folder. Access is only possible when your firm explicitly shares a specific folder for a specific purpose, such as technical support or a debugging session. That access is temporary and limited to the stated purpose. No client data is stored, copied, or retained outside the client's own Google Drive. This architecture means your clients' financial documents never leave Google's enterprise-grade infrastructure. QBS does not operate its own document servers and does not retain any copies of processed files. For accounting firms in Singapore and Malaysia handling sensitive client financial data, this zero-retention design is a deliberate choice that aligns with how professional firms expect their data to be handled under PDPA requirements.

What if we use a different accounting software?

QBS currently supports three accounting software platforms used widely by accounting firms in Singapore and Malaysia: Xero, AutoCount, and SQL Account. These cover the majority of firms in both markets. If your firm uses a different platform, we encourage you to contact us directly to discuss your requirements. Our pre-accounting workflow tool produces structured data in Google Sheets, which can often be adapted to work with other accounting software depending on its import capabilities. We are actively evaluating additional integrations based on the needs of firms we speak with.
