/ FEATURES OVERVIEW
What QBS Does for Your Firm.
Five Things QBS Does Before Your Accountants Start Work. No new software to learn. No migration.
/ FEATURE 01: DATA ENTRY AUTOMATION
Automate Your Data Entry.
Drop your statements and invoices into Google Drive. QBS reads every document and pulls out the transaction data into your preferred format. No manual typing.
- Works with PDF, JPG, and scanned images
- No templates or manual rules to set up
- Output matches your firm's preferred format
- QBS runs whenever your team is ready. Process a batch during the day, clear a backlog after hours, or have everything ready before the morning rush. You decide the pace.
Uploading documents and watching QBS extract the data
/ FEATURE 02: SMART MATCHING
Smart Matching.
QBS finds the invoice or receipt that matches each bank line. It suggests the match. Your team checks it and confirms. The final call is always yours.
- Suggests invoice-to-bank-line matches automatically
- Your team reviews and approves each match
- Every match is traceable back to the original document
- No more hunting through folders for source documents
Reviewing suggested matches between bank lines and invoices
/ FEATURE 03: MATHEMATICAL VERIFICATION
Mathematical Verification.
QBS rechecks every row against the bank's own balance logic. Any row that does not add up is flagged in red before it reaches your ledger.
- Recalculates running balance on every single row
- Flags discrepancies in red before export
- Every row is traceable back to its source document
- Works on any bank statement format
Seeing flagged rows and reviewing the variance report
/ FEATURE 04: FINANCIAL YEAR AUTO-FILING
Financial Year Auto-Filing.
When you set up a client, you select their Financial Year end month. QBS reads the date on every document and routes it to the correct Financial Year folder automatically. Invoices that arrive late are filed where they belong, not where they landed.
- Financial Year end month set once during client setup
- Detects document dates automatically
- Routes files to the correct Financial Year folder in Google Drive
- Works across multiple clients and entities
- No manual sorting or renaming needed

/ FEATURE 05: CLIENT SETUP AND CODE MAPPING
Client Setup and Code Mapping.
Before QBS processes anything, you configure the client once. You set their Financial Year end, map their debtor and creditor codes, and select their accounting software. From that point, QBS applies that configuration to every document in the client folder. You set it up once and QBS handles the rest.
- Set up each client once and QBS remembers their configuration going forward
- Debtor and creditor codes are mapped to the client so QBS recognises them in every document
- Configuration lives in the client folder so your team can always refer back to it
- Accurate code mapping makes Smart Matching more reliable over time
